Omni Dental Service LLC ("Company," "we," "us," or "our") develops and operates DentiQ, a practice management platform available at dentiqusa.com (the "Service"). This Privacy Policy explains what information we collect, how we use it, and how we protect it when you use the Service.
By creating an account or using the Service, you agree to the practices described in this policy. If you do not agree, please do not use the Service.
2. Information We Collect
Account Information
When you or your practice owner creates an account, we collect your name, email address, and encrypted password. Practice owners also provide their practice name, time zone, and operational settings such as open days and office closures.
Usage Data
We record task completion activity, notes attached to tasks, timestamps, and team assignment information. This data is used solely to operate the Service and provide reporting features to your practice.
Technical Data
Our servers automatically log standard technical information such as IP addresses, browser type, and pages visited. This information is used for security monitoring and service improvement. We do not use it to build advertising profiles.
Billing Information
Payments are processed by Stripe, Inc. We do not collect or store payment card numbers. We retain billing status, subscription tier, and invoice history associated with your account.
3. How We Use Your Information
We use the information we collect to:
- Provide, operate, and maintain the Service;
- Generate daily task lists and send transactional emails (summaries, alerts, password resets);
- Respond to support and help requests submitted through the Service;
- Monitor for security incidents and prevent misuse;
- Improve and develop new features; and
- Comply with applicable legal obligations.
We do not use your data to serve third-party advertising, and we do not sell your personal information to any third party.
4. Data Sharing and Sub-Processors
We share data only with the following service providers, each of whom is bound by their own privacy and security obligations:

5. Health Information Notice
DentiQ is a task management and accountability tool designed for dental practice staff workflows. The Service is not designed to collect, store, or process patient names, clinical records, diagnoses, treatment notes, or any information that constitutes Protected Health Information (PHI) as defined under HIPAA.
If you believe your intended use of the Service may involve PHI, you must contact us at info@dentiqusa.com before use to discuss appropriate safeguards and whether a Business Associate Agreement is required.
6. Cookies
We use session cookies strictly necessary to maintain your authenticated session within the Service. We do not use advertising, tracking, or analytics cookies placed by third parties. You may disable cookies in your browser, but doing so will prevent you from logging in and using the Service.
7. Data Retention
We retain your account and operational data for as long as your account remains active. Following account termination or subscription cancellation, your data is retained for 30 days and then permanently deleted, except where longer retention is required by law (e.g., billing records for tax compliance).
8. Security
We implement industry-standard security measures including encrypted data transmission (TLS 1.2 or higher), encrypted data storage at rest, and role-based access controls. Despite these measures, no method of transmission over the internet is completely secure, and we cannot guarantee absolute security.
9. Your Rights
Depending on your jurisdiction, you may have the right to access, correct, or request deletion of your personal data, or object to certain processing. To exercise any of these rights, contact us at info@dentiqusa.com. We will respond within 30 days.
California residents may have additional rights under the CCPA, including the right to know what personal information we collect and the right to request deletion. We do not sell personal information.
10. Children
The Service is intended for adults operating or employed by dental practices. We do not knowingly collect personal information from individuals under 18. If we learn we have inadvertently collected such information, we will delete it promptly.
11. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify registered users by email of any material changes at least 14 days before they take effect. Your continued use of the Service after the effective date constitutes acceptance of the updated policy.
